Choosing a Facility Maintenance Provider: Key Factors to Prioritize
August 15, 2026When considering summer safety tips for the workplace, heat prevention is often the first concern. High temperatures can create serious risks for employees working both indoors and outdoors, including heat-related illness and reduced physical performance. OSHA recommends planning for heat hazards and providing appropriate access to water, rest, and cooler recovery areas based on workplace conditions.
But temperature is only part of the summer safety picture.
Summer can also change how an organization operates. Vacation schedules and paid time off may leave fewer employees available, require coworkers to cover unfamiliar responsibilities, or place additional demands on supervisors and inexperienced team members. At the same time, travel, changing family schedules, heat, and disrupted routines can affect employees’ focus and fatigue levels.
For leaders, the goal should be to anticipate these changes before they create gaps in normal safety practices.
Why Summer Workplace Safety Requires More than Prevention
Every workplace faces different challenges during seasonal changes. A healthcare facility may need to maintain consistent staffing and operational coverage despite vacation schedules. A government or federal facility may have responsibilities that require specific training, authorization, or security procedures. An industrial environment may need qualified personnel available for equipment operation or maintenance.
The environments differ, but the underlying risk is similar: normal routines change while safety expectations remain the same.
When experienced employees are away, other workers may be asked to perform a task they don’t normally handle. Supervisory coverage may shift. And teams may be stretched across additional responsibilities.
That doesn’t automatically make the workplace unsafe. It does mean leaders need to plan intentionally for how work will continue.
OSHA and NIOSH guidance for temporary and newly assigned workers reinforces an important principle: Employees should understand the scope of their responsibilities, the hazards associated with their work, and the training and protective measures required before taking on unfamiliar tasks.
The following summer safety tips can help organizations prepare.
1. Plan PTO Coverage Before Staffing Gaps Occur
Vacation schedules should be treated as an operational planning issue, not simply a calendar issue. Before periods of increased PTO, leaders should identify responsibilities that cannot be interrupted and determine who is prepared to handle them.
Consider:
- Which responsibilities require specialized training or authorization?
- Who is qualified to provide backup coverage?
- Which tasks can wait until the primary employee returns?
- Who will supervise or approve work while key employees are away?
- What information needs to be documented before an employee leaves?
Predictable scheduling gives teams more time to identify coverage gaps instead of scrambling to solve them after someone is already out of the workplace.
2. Avoid Assigning Unfamiliar Tasks Without Proper Preparation
Being available to cover a task doesn’t necessarily mean an employee is prepared to perform it safely.
When employees take on responsibilities outside their normal role, leaders should confirm that they understand the task, its potential hazards, the required procedures and equipment, and the limits of their responsibilities in this new task.
This instruction is especially important when the work involves machinery, chemicals, electrical systems, maintenance activities, specialized cleaning procedures, security requirements, or any other type of specific training.
OSHA and NIOSH guidance emphasizes task-specific training when workers are placed into new assignments and recommends addressing changes in hazards, training, and personal protective equipment before new work begins.
A simple question can prevent unnecessary risk: Is this employee trained and prepared to perform this task, or are they simply the person who happens to be available?
Those are not the same thing.
3. Strengthen Supervision During Schedule Changes
Summer staffing changes can make strong supervision even more important. Employees covering new responsibilities may need additional guidance. Temporary schedule changes may also alter normal reporting structures or leave employees working with supervisors who are less familiar with their daily responsibilities.
When managers are gone, leaders should make sure employees know:
- Who is supervising their work
- Who can answer safety or procedural questions
- Which decisions require approval
- How to report a concern or unexpected condition
- When work should stop until a qualified person is available
Clear leadership prevents employees from having to make assumptions when normal team structures change.
4. Build Redundancy into Safety-Critical Responsibilities
Organizations shouldn’t rely on one employee as the only person who knows how to perform an essential task.
Redundant systems can help maintain both safety and operational continuity during vacations, illness, turnover, or unexpected absences. Depending on the workplace, that may include cross-training qualified employees, documenting procedures, maintaining current emergency contacts, establishing backup approval processes, and identifying secondary personnel for critical responsibilities.
The objective isn’t to make every employee interchangeable. It’s to make sure an absence doesn’t force an unprepared employee into a responsibility he or she isn’t ready to handle.
5. Continue to Prioritize Heat Safety
Heat remains an important summer workplace hazard, especially during the peak months of July and August.
Heat exposure isn’t limited to employees working outside. NIOSH notes that workers in hot indoor environments can also experience occupational heat stress, with risk influenced by environmental conditions, physical workload, clothing, and personal protective equipment.
Employers should evaluate the conditions employees actually experience and plan accordingly.
Depending on the work environment, precautions may include access to cool drinking water, appropriate rest periods, cooler recovery areas, monitoring conditions, and allowing new or returning workers time to acclimatize to hotter working conditions.
Employees and supervisors should also know how to recognize signs of heat-related illness and what steps to take when symptoms appear.
6. Pay Attention to Fatigue and Distraction
Not every summer safety risk is visible. The middle and later weeks of summer can bring added distractions and fatigue. Travel, changing sleep schedules, family responsibilities, altered work hours, heavier workloads caused by staff absences, and heat can all affect how an employee approaches the workday.
Fatigue deserves particular attention. Employees may return from vacation feeling less rested than expected, while coworkers who covered additional responsibilities or shifts may be experiencing fatigue from the added workload. Heat can also cause workers to tire more quickly. NIOSH notes that worker fatigue can slow reaction time, reduce attention and concentration, affect short-term memory, and impair judgment.
Late summer can create additional distractions because it is a transitional period for many employees. July and August are among the busiest months for household moves, while the start of the school year can bring schedule changes and additional responsibilities for employees with children.
Leaders cannot eliminate every potential distraction, nor should they try too. Instead, they should create systems that make safe performance less dependent on perfect concentration.
Clear procedures, checklists, reasonable workloads, defined responsibilities, effective shift handoffs, and active supervision can provide additional safeguards when employees are working outside their normal routines.
7. Maintain Consistent Facility Conditions
Seasonal staffing changes shouldn’t allow routine facility responsibilities to fall behind. Regular inspections, housekeeping, maintenance, and timely response to facility issues remain important even when teams are operating with reduced staffing.
Leaders should continue monitoring conditions such as:
- Areas affected by increased heat or humidity
- Building systems and equipment
- Cleaning and housekeeping needs
- Clearance of emergency exits and access points
- Open maintenance requests
- Safety equipment and signage
- Walkways and work areas
A consistent process for identifying and responding to facility concerns helps prevent smaller issues from becoming larger operational or safety problems.
Summer Safety Applies Across Every Industry
The specific hazards may change from one environment to another, but strong summer safety planning isn’t limited to a traditional commercial workplace.
Healthcare facilities, government and federal sites, educational campuses, industrial and manufacturing operations, and commercial properties all depend on trained employees, clear responsibilities, effective supervision, and reliable facility operations. US&S itself works across these environments, including facilities with elevated safety, training, confidentiality, and federal compliance expectations.
The most effective approach is to recognize where normal operations may change during the summer and build safeguards around those changes.
